Once onboarding is done, the day-to-day work starts — and most of it is one repeating shape. Here's what a normal sale looks like from first quote to money in the bank, using one of our own worked examples.
Opening balances get a business onto CloudERP. What actually pays the bills afterwards is the ordinary, repeated cycle of selling something and getting paid for it. It's a shorter story than onboarding, and once it's set up, most of it takes care of itself.
Quotation
Every sale starts with a number you're prepared to commit to: a Quotation, naming a customer, the items or services on offer, and a price. Nothing about a quotation touches your accounts yet — it's a proposal, not a commitment, and it can be revised or dropped without leaving a trace anywhere in the books.
Sales Order
Once a customer accepts, the quotation becomes a Sales Order with one action — nothing gets retyped. This is the point where a sale becomes a real commitment: what was agreed, and by when.
Sales Invoice
When it's time to bill, the Sales Order becomes a Sales Invoice the same way — carrying the customer, the items, and the amount forward automatically. This is the document that actually hits your accounts: it's what raises the debt in your customer's name and what your financials report as revenue.
Payment Received
Money in is recorded against the specific invoice it settles, not just logged as a lump sum against the customer in general — so at any point, it's obvious which invoices are paid, which are still outstanding, and by how much.
Why walk through all four steps
None of this is complicated on its own, but doing it consistently is what makes your numbers trustworthy. Every sale leaves the same trail — quote, order, invoice, payment — so nothing gets invoiced twice, nothing gets recorded as paid that wasn't, and a debtors listing always means exactly what it says.
