The opening balance workbook you can download straight from your onboarding record comes in two versions — a blank one to fill in from scratch, and one already carrying whatever you've entered so far. Here's when to use each.
Not everyone wants to type their opening figures directly into a screen. Some accountants would rather work in a spreadsheet — offline, at their own pace, in a tool they've used for twenty years — and hand the result back when it's ready. CloudERP's opening balance workflow supports that too: a Download Intake Template button sits right on your Opening Balance Batch, and it gives you two different starting points depending on where you are in the process.

This is the version to reach for at the very start. It's a clean workbook shaped exactly like your batch — one sheet per section (trial balance, debtors, creditors, bank and stock, fixed assets where they apply), each with the columns the system expects when the figures come back. Nobody has to guess the layout or improvise their own headings — whoever fills it in is filling in the same structure the system itself will read.
With Current Data
This is the version to reach for partway through, or right at the end. Instead of empty sheets, it comes back carrying every figure already entered in the batch — a live snapshot of exactly where things stand. That's useful in a few different moments: handing the batch to a second person to review offline, sending a working copy to an external accountant for a sanity check, or simply keeping an easy-to-read record of what was submitted, outside of the system itself.
Same file, either way
Both versions come back as the same kind of workbook, so there's nothing extra to learn switching between them. Either way, the spreadsheet is a working copy, not a separate input channel — the figures still get typed into the batch itself (by your team, or ours, from whatever's agreed in the spreadsheet), and only then go through the same checks every entry gets: the trial balance still has to balance, debtors and creditors still need their evidence, and the same reviewer sign-off still applies before anything reaches your live accounts.
